STATUS:  Regular Full Time  (Hybrid In-Office/At-Home)              COMPENSATION: $20.75 /hour

916 Ink is Sacramento’s arts-based literacy nonprofit that provides creative writing workshops for low-income and at-risk youth, grades 3-12, in order to transform them into confident writers and published authors. By creating published youth authors, we create lifelong readers and articulate communicators who know the power of their own story.

POSITION SUMMARY: The Operations Coordinator will work closely with the Business Operations Manager to ensure the proper monitoring of personnel records, report data, and internal procedures. Operations Coordinator will also monitor and respond to website and email traffic and assist regularly in administrative operations. Operations Coordinator will provide office support, acting as liaison for facilities management and vendors as well as general office inventory.

ESSENTIAL DUTIES AND RESPONSIBILITIES

OPERATIONS SUPPORT

· Assist in data entry, filing, drafting and preparing documents.

· Assist in fiscal operations.

· Support student and program record keeping.

· Maintain personnel files.

· Track and monitor clearances and required trainings for staff and volunteers.

· Maintain the company website.

· Track and monitor online program registration and volunteer enquiries.

· Maintain org-wide internal documents.

· Assist with team days and trainings as needed.

OFFICE SUPPORT

· Liaise with facilities manager for office maintenance and needs.

· Liaise with vendors for office needs.

· Inventory and ordering of office supplies and maintain office equipment.

· Maintain calendar of important office dates.

· Inventory and maintenance of office keys and key cards.

· Regularly open and close the office.

· Receive general enquiry phone calls and emails, routing to appropriate staff person as needed.

· Receive incoming and send outgoing mail and parcels. Route mail and parcels to the appropriate staff person as needed.

OTHER

· When and where necessary, temporarily conduct essential roles when a volunteer or staff member is unable to report to an assignment (requires day travel).

· Other job-related duties as assigned.

MINIMUM QUALIFICATIONS

· Must be at least 18 years of age.

· Minimum of two years of administrative work experience in a fast-paced organization.

· Must be able to take direction and carry out assigned tasks with minimal supervision.

· Excellent verbal and written communication skills.

· Demonstrated ability to use critical thinking skills to solve problems, analyze data, and recognize patterns.

· Demonstrated ability to perform all tasks with strong attention to detail.

· Demonstrated ability or track record for establishing strong internal and external working/professional relationships.

· Must be able to work in a collaborative team-driven environment.

· Must be able to demonstrate a commitment to 916 Ink’s mission, vision, and core values.

· Must have ability to work a flexible schedule including occasional nights and weekends.

· Must have access to reliable transportation. If you drive your own automobile on company related business, must show evidence of current automobile insurance.

· Upon conditional offer of employment, must be able to:

o Provide evidence of ability to live/work in the United States.

o Provide evidence that you’re 18 years of age or older.

o Must satisfactorily pass criminal background and professional employment background checks.

DESIRED QUALIFICATIONS

· Experience with Microsoft Office Suite, Squarespace, Adobe products.

· Experience with online point of sale systems (Stripe, and Square).

· Customer service experience.

· Fluent Spanish-speaking.
